Terms & Conditions

Requirements:

Renter must be a minimum of 25 years and must have a VISA, MasterCard or Discover credit card and picture identification in order to pick up an RV Rental. All licensed drivers on the trip are required to be verified. There is no cost associated with the verification process. It simply allows anyone to drive in the event of an emergency.

Estimated Rental Costs are secured with a 25% deposit. The balance is due 14 days prior to the trip departure date.

Renter must purchase insurance from Mason RV Rentals. Private insurance binders are not accepted at this time.

Access RV reserves the right to substitute models with similar, higher rated or longer vehicle type category.

Rates, Down Payment, Security Down Payment and Rental Payments:

When a Renter makes a reservation with a departure date more than 14 days away, a Reservation Deposit is charged when an Owner accepts the reservation. This charge is 25% of the full cost of the trip. At 14 days from departure, the balance of the trip cost is due. If a Reservation is canceled more than 7 days prior to the departure date:

• · Any insurance paid is refunded
• · Renter is responsible for 25% of the booking total
• · Renter is responsible for the service fee. (If applicable)
• If a Reservation is canceled less than 7 days prior to the departure date:
• · Any insurance paid is refunded
• · Renter is responsible for 50% of the booking total
• · Renter is responsible for the service fee (If applicable). The advance payment to secure reservation is 25% of the base rental rate with the balance of the estimated rental costs due at the time of picking up the RV.

A pre-authorization amount is placed on the credit card at the time of departure as a security deposit. The amount will be $1500 regardless of the insurance option you select. This amount does not charge the credit card but does place a hold on the amount.

The security deposit must be made with a VISA, MasterCard or Discover credit card. ATM/Debit Cards, Check Cards, are not allowed for security deposits.

No refund is given for late pick up, or early return.

USE OF THE VEHICLE:

The renter shall not:

• use or allow the vehicle to be used for the transport of passengers for rent or reward.
• sublet or rent the vehicle to any other person.
• allow the vehicle to be used outside his/her authority.
• operate the vehicle or allow it to be operated under the influence of alcohol or drugs.
• operate the vehicle or allow it to be operated in any race, speed test, reliability trial, rally or contest, or operated on any race or rally circuit or in any event as a pace-maker or testing in preparation for any of them.
• operate the vehicle or allow it to be operated for the transport of more passengers or goods than the maximum specified in the certificate of loading and/or road user charge certificate, whichever is the lesser, for the vehicle.
• drive or allow the vehicle to be driven by any person if at the time of driving the vehicle the driver does not hold a current full valid driver’s license appropriate for the vehicle.
• drive or allow the vehicle to be driven on any roads excluded in clause 22(q) of these terms and conditions, or on any beach, driveway, or surface likely to damage the vehicle.
• allow the vehicle to be towed/driven by any person who is not named or described in the Rental Document as a person permitted to operate the vehicle.
• operate the vehicle or allow it to be operated to propel or tow any other vehicle.
• transport any animal in the vehicle (with the exception of guide dogs for visually impaired people).
• operate or allow the vehicle to be used in involvement with any illegal activity.
• allow any person to smoke in the vehicle.

Cancellation:

Reservations may be canceled with a full refund if done so within 7 days of making the reservation. After the first 7 days of making the reservation, the advance payment becomes non-refundable. If the trip needs to be cancelled after the first 7 days of making the reservation and 14 days before the scheduled trip, the advance payment can be used as a credit towards a future trip with Access RV. Cancellations made within 14 days of your departure date are only credited if the unit is booked again.

Vehicle Pick Up:

RV pick-up Time is after 10 AM based on vehicle readiness. Alternative pick up times are negotiable but must be arranged in advance.

There is no refund if client picks up later than the booked day of departure.

Customers should allow 1 hour after arrival for vehicle check out and orientation.

Customer vehicles cannot be stored at the rental location without prior authorization from the location’s Rental Manager. Vehicle storage is not available at all locations. Mason RV Rental is not responsible for any damages to the customer’s stored vehicle. Storage fees may apply.

Vehicle Return:

Return time is NLT 3PM. Customers returning late may be charged a $50.00 or more per hour late fee if a alternate return time was not approved in advance.

There is no refund if customer terminates rental before scheduled return date.

All late returns or extensions must be authorized by the return Mason RV Rentals at least 24 hours prior to the scheduled date of return and any additional charges will be immediately applied to the customer’s credit card on file.

PRIVACY ACT

The information requested from the renter is to enable the owner to assess the renters’ request to rent a vehicle. The renter does not have to supply this information, but if the renter does not, then the owner is unable to rent the vehicle. The renter acknowledges that the owner will collect, hold, and use the renter’s personal information for purposes related to the rent of the vehicle and the provision of related customer services, including direct marketing and assessing customer satisfaction with products and services provided by the owner. The renter further acknowledges that such personal information may be disclosed to debt collection agencies in the event that the renter defaults in the payment of any monies owing to the owner, or other parties involved in an accident with the vehicle while on rent to the renter; or any organizations responsible for the processing or handling of traffic related infringements; and the renter hereby authorizes the disclosure of their personal information for such purposes.
